New Feature: End Service Checklist

You asked us for a way to help you remember to capture the necessary payslip items associated with employee terminations, and we’ve been listening. Introducing our newest feature: the End Service Checklist.

When ending an employee’s service on the system, there will now be a pop up if the employee:

  • has a positive leave balance that you need to pay out
  • has a savings balance that you need to pay out 
  • has a loan balance that still needs to be paid

If you are capturing the termination and the employee only has the last payslip as a draft (i.e. prior payslips have been finalised), you can click on each item in the checklist to open the system item where action is needed.

Please note: Expansion of this feature is in our pipeline. At this stage, this new checklist only works for:

  • employees terminated individually, not in bulk.
  • positive balances (i.e. if an employee’s leave balance is a negative, then it will not appear on the checklist).

Introducing Dual Employment

We love giving you a great payroll experience and, once again, the SimplePay team has been hard at work to respond to your payroll needs. We are delighted to introduce you to dual employment on our system.

Dual employment occurs when:

  • you have an employee on your payroll with two active employments AND
  • you want to keep the two sets of pay separate on your payroll records.

In practice, this usually means that the employee is assigned two different employee numbers and/or IDs.

SimplePay has provided better support for dual employment as follows:

  • To enable dual employment, there is a check box under Other Statutory Info on an employee’s Basic Info screen that says Allow Multiple Employment. Tick this checkbox to allow you to capture two employees with the same PPSN.
  • When adding two employees with the same PPSN without setting the checkbox, you will encounter a validation error. This is to ensure that you do not accidentally capture an employee twice on the system when it is not dual employment, but simply a duplicate.
  • Allowing dual employment on the system will assign different Employment Identifiers to the employee, ensuring that submissions to Revenue are reported correctly. You can read more about Employment Identifiers here.

Tax Certificates Now Available via Employee Self-Service

At SimplePay we strive to create value for you by meeting your payroll needs in a simple and easy manner. With that in mind, we are thrilled to announce the launch of a new feature to make the tax year-end even easier for you – employees can now view their tax certificates via the self-service function.

This means that you can release P60s to your employees at the end of the tax year at the click of a button. Employees will be informed via email that their tax certificates are available on their employee self-service. You can also attach a PDF of their tax certificate in this email.
